Welcome to the family! We are so excited to have you join us. Before we start this journey together, please take a moment to read our booking conditions. By securing your spot with us, you are agreeing to these terms, which are designed to ensure a smooth and enjoyable experience for everyone.
Your contract is with Mosaic Adventure, a company based right here in the heart of Kathmandu, Nepal. We’re referred to as ‘the company’ throughout this document.
01. Booking Your Adventure & Deposit: To secure your spot on one of our incredible tours, you’ll be asked to complete a booking form and pay a non-refundable deposit. The deposit amount will vary depending on the tour you choose, from 10% to 100%, and will be clearly shown at checkout. By making this payment, you confirm that you have read and agree to these terms on behalf of everyone in your group. If you’re booking through a travel agent, we’ll communicate with them, and they will keep you informed every step of the way.
02. Finalizing Your Contract: Your adventure is officially booked once your deposit has been successfully paid and you receive a written confirmation from us (a confirmation invoice or email). Until then, no contract exists between us.
03. Final Payment: The remaining balance of your tour is due in person when you arrive in Kathmandu, Nepal, before your trip begins. This allows for maximum flexibility. Please be aware that if we don’t receive this final payment on time, we may have to consider your booking canceled, and the cancellation charges outlined below will apply.
04. If You Need to Cancel Your Trip: We understand that sometimes things don’t go as planned. If you need to cancel, please let us know in writing as soon as possible. Your cancellation is effective from the date we receive your written notice and is subject to our approval.
- 15 or more days before departure: You will forfeit your non-refundable deposit. This helps us cover the initial costs of arranging your trip.
- 14 days or less before departure, or if you are a “no-show” without notice: We are unable to provide a refund, and you will forfeit 100% of the total tour cost.
05. Guaranteed Departures: We are proud to guarantee the departure dates for all tours listed on our website and in our brochure! We’re committed to making your adventure happen.
06. If We Have to Cancel Your Trip: We truly hope this never happens, but in very rare circumstances, we might have to cancel a tour. This would only be due to major, unforeseen events beyond our control, such as a natural disaster that makes travel impossible or unsafe. We will also cancel a trip if a client fails to pay their final balance. If we are unable to provide the tour you booked, we promise to offer you an alternative trip of a similar standard or provide a full refund of all money you’ve paid to us.
07. Changing Your Trip Arrangements: If you need to make a change to your confirmed booking, please send us a written request at least 15 days before your departure. We’ll do our best to accommodate your request, though changes aren’t always possible. A small administration fee of US$50 per person, per change will be applied, in addition to any extra costs incurred. For changes requested within 15 days of departure, the cancellation policy in Clause 4 will apply.
08. Getting to the Starting Point: You are responsible for arranging your own travel to and from the tour’s assembly point mentioned in your itinerary. We cannot be held responsible for any delays you experience on your journey to or from the tour.
09. Our Vehicles: For your comfort and safety, we set limits on the number of passengers in our vehicles. In special circumstances, we may need to make adjustments, but we always prioritize your well-being.
10. Your Responsibility: Once you receive your confirmation invoice, please double-check all the details to make sure everything looks correct. If you spot any discrepancies, let us know immediately!
11. Our Commitment to You: Our team members are dedicated to providing an amazing experience. Please know that no one can alter or waive these booking conditions unless a director of the company provides written and signed consent.
12. Your Health & Well-being: To ensure you can fully enjoy your adventure, you must confirm that you are in good health. If you have any pre-existing medical conditions, it’s essential to inform us at the time of booking so we can be prepared to help. We may also ask for a medical statement from a certified doctor to confirm you are fit to travel.
13. Unsuitable Behavior: We want everyone on our tours to have a fantastic time. If a client’s behavior causes inconvenience or annoyance to others, we reserve the right to remove them from the tour, with no refund.
14. Health and Immunization Advice: We recommend you seek professional medical advice regarding the immunizations and health precautions needed for the countries you’ll be visiting. We suggest being immunized against typhoid, polio, tetanus, and hepatitis, but a medical professional can provide the most accurate advice for your specific trip.
15. Travel Insurance is a Must! For your peace of mind and safety, travel insurance is mandatory for all clients. Please arrange a comprehensive policy before your trip that covers personal injury, medical expenses, emergency helicopter rescue, repatriation costs, loss of luggage, and cancellation or curtailment of your tour. Please note that all medical and repatriation costs are your responsibility, and we cannot be held liable for any refund of the tour cost if you fall ill.
16. Your Feedback and Our Complaints Procedure: Your experience is incredibly important to us. If you have any concerns during your trip, please speak to your tour leader, guide, or the manager as soon as possible so we can address the issue right away. We take every complaint seriously, especially those related to discrimination, fraud, or sexual harassment. We also welcome all feedback, big or small, through our feedback form-it helps us make our service even better!
17. Information & Changes: We provide all information in our brochures and on our website in good faith and based on the latest available details. Please understand that we reserve the right to make minor changes to facilities or vehicles if necessary, but we will not be held liable for compensation or refunds for these changes.
18. Your Travel Documents: It is your responsibility to ensure you have a valid passport, any necessary visas, and all required vaccination or medical certificates for your entire tour. We cannot be held responsible if you fail to obtain the correct documentation.
19. Special Requests: Please let us know in writing about any special dietary requirements when you book. We will do our very best to accommodate you, though we can’t always guarantee special meals.
20. Exclusion from the Tour: If a client commits an illegal or unlawful act, we are not responsible or liable for them. They may be excluded from the tour without any refund.
21. Photo & Video Rights: We love to share the magic of our tours! Please be aware that our team may take photos or videos during your trip, and we reserve the right to use this material for our promotional and advertising purposes without seeking further consent. We may also use your positive comments from feedback forms or letters in our promotional materials.
22. Severability: If any part of this contract is found to be unenforceable, the rest of the contract will remain valid and in effect.
23. Jurisdiction & Law: This contract is governed by the laws of Nepal and is subject to the exclusive jurisdiction of the government of Nepal.
24. Interpretation: Headings in this document are for convenience and clarity only. Where context allows, words in the singular include the plural, and vice versa.
25. Personal Information: By booking with us, you consent to us using your personal information to make and complete airline and travel-related arrangements on your behalf. If you booked through an affiliate link, you also consent to us sharing your contact information with that third party, who may follow up with you about auxiliary products.
